Objectives

To reiterate the basic concepts of database design; as well as, databases queries, reporting, and mail merge using Access'2002 and Word'2002.

Generate Junk Mail

Build a database in MS-Access'2002 and create a form letter in MS-Word'2002 in order to perform a mail merge with your database.

 

  1. Build a new database.
  2. Build a table in this database that contains at least seven fields. Use meaningful types for your fields.

·        First name

·        Last name

·        Street address

·        City

·        State

·        Zip code

·        At least one other field that would be useful, such as, age, marital status (M, S, D), owns a home (Y, N), etc.

 

2.      Enter 10 records in this table.

3.      Create a report and print it. Your report must include the first name, last name, and the added field(s) (i.e. other than the address related fields). Your report must be titled Assignment #5 Report and include the appropriate column headers. Note that the address is excluded. (1st print out, one page)

4.      Create a query to choose a subset of the records in your database. Your criteria should be based on the added field(s). This query should yield exactly 3 records. Update the values in the table created in step 3 to ensure that the query produces only three records. No print out from this step.

5.      Create a form letter for a piece of junk mail. Assume that the recipient has "won" a three-day weekend vacation in your hometown! Let them know all of the wonderful things they will be able to do! Sell your hometown! Make them glad they won first place, and not second place. Creativity will be rewarded. This form letter must include the full name and address fields from our Query created in our Access database earlier; these fields are to appear in the upper left corner of the letter. Print out this form letter. DON'T mail merge here; just print the form letter. (2nd print out, one page).

6.      Complete the mail-merge process by merging your form letter and the query. Turn in these printed letters. (3rd print out, three pages).

 

Write your name on the top of each page of output - there should be five pages; the report on the database, the form letter, and the three mail-merged letters.

 

Generate labels (5 Points Extra Credit)

Print a set of address labels for those whom we will be sending junk mail to. You don't have to actually print on a label form, normal paper is fine. You must write a paragraph describing how you generated the labels (i.e. Just typing a bunch of mail addresses in the word processor won't get you the points).  The extra credit print out should be two pages; one containing the labels and the other the description of the process you used to generate them. 

 

Each label should have the following format:     

First Name Last Name

Street Address

City, State      Zip
